Fill in your name, contact details, and a bit about the spaces you're eager to share. Please provide accurate information, as we'll use these details to verify your identity and the legitimacy of your listings.

## Step 2: Verification Process

Once you've submitted your details, our team will swing into action to verify the information you provided. This step is crucial to maintain the integrity of our platform and create a safe space for all users.

During the verification process, you may receive an email from us seeking additional details or confirming your submission. Please keep an eye on your inbox and respond promptly to any requests. We appreciate your cooperation in making TheFlowOps a secure and reliable platform.

## Step 3: Account Invitation

We will display your studio's address as a POI on Google Map. Use our auto-complete feature to search for the address.&#x20;

### Space Capacity

This should indicates how many students the space can comfortably occupy.&#x20;

Clearly annotating the number of students your fitness studio can accommodate is crucial as it sets expectations for class sizes, ensuring a comfortable and personalized experience for participants. This transparency fosters trust and helps fitness instructors choose your studio with confidence.

### Amenities

Highlighting the amenities of your fitness studio is paramount to attracting bookings as it provides potential clients with a tangible preview of the unique offerings and comforts they can expect. Check all amenities that your studio currently offers. If none of our checklist applies to your amenities, you can also include them in the description field, and submit a request of additional amenities to <support@theflowops.com> so we can consider adding them as an in built checklist in the future.&#x20;

### Contact Info

Whether clients prefer traditional phone calls or digital messaging, accessible contact information empowers them to reach out with inquiries, bookings, or feedback, ultimately enhancing their experience and strengthening your studio's reputation for professionalism and accessibility. Make sure your contact info includes:&#x20;

* an official link to your website (if any)&#x20;
* office's contact or WhatsApp number
* social media handles such as Instagram, Facebook or TikTok

A picture is worth a thousand words, and nowhere is that truer than in the world of hosting. Upload high-quality photos that showcase the best features of your space. Consider including images of key areas, unique amenities, and any special touches that set your space apart.

## Step 6: Choose Your Pricing and Availabilities

Let fitness instructors know when your space is available for booking. Make sure your weekly availabilities is accurate and up to date at all times.

## Step 8: Review and Publish

Before hitting that "Publish" button, take a moment to review your listing. Double-check that all the information is accurate, your photos are captivating, and your description is inviting. Once you're satisfied, go ahead and publish your space

# Editing and updating existing listings

We understand that you may make changes to your listing information to keep your studio listing up-to-date, such as an update on your schedules, pricing or amenities. Hence, we've built in functionality to keep your listing's information up to date. To update your listing information, follow the steps below:&#x20;

## Step 1: Log into Partners Dashboard&#x20;

Begin by logging in to your TheFlowOps Partners account using your credentials. Once logged in, navigate to your dashboard, where you'll find all the tools you need to manage your listing.

## Step 2: Locate Your Listing&#x20;

In your dashboard, find the specific listing you want to edit. Click on "Manage this listing" button on the top right corner.&#x20;

Clicking on the button will lead you to editing page for the studio.

## Step 3: Update Photos and Visuals

Did you just upgrade your studio space with new equipments or completed a renovation? Consider updating your listing with fresh, high-quality photos that accurately represent your space. To do so, simply remove outdated or old photos of your studios, and upload new photos.&#x20;

* Hover on the existing image you want to remove&#x20;
* Click on the "delete" button on the top right corner of the image&#x20;
* Confirm deletion&#x20;

## Step 4: Revise Your Description&#x20;

Review and update your listing description to reflect any changes or enhancements to your fitness center or studio. Highlight any new services, or amenities you offer, and ensure that your description captures the unique atmosphere and ethos of your space.

## Step 5: Update Listing Details&#x20;

Note that we do not allow you to edit your listing's address when your listing already has at least 1 booking request associated with it. If you are launching a new studio in a different location, we recommend that you create a new listing by following [Step-by-step guide for adding a new space](/listing-a-space/step-by-step-guide-for-adding-a-new-space) instead.&#x20;

To update your **weekly schedules**, find the "Availability" section.

* Easily mark the days your studios or fitness center is available for rent;
* Select the time duration for each available day from our convenient dropdown menu. Note that the timezome is based on the address of your listing. For example, if your listing is based in Melbourne, Australia, you should enter the available time slots in that timezone.&#x20;
* If a time slot is no longer valid, just click on it and hit "Delete."&#x20;

It's that simple!

To update **links and contact information** related to your listings, find the "Space Details" section.&#x20;

> Note: You may need to scroll down if your screen height is relatively short (e.g. iPad users)&#x20;

## Step 6: Save Your Changes

Once you're satisfied with your edits, don't forget to save your changes. Only saved changes will be published live on our mobile app, and it may take a few minutes for the updates to be reflected.&#x20;

After updating your listing, keep an eye on feedback and engagement from potential clients. Respond promptly to inquiries and reviews to show that you're actively engaged with your community and committed to providing exceptional service.&#x20;

Managing booking requests is a vital aspect of ensuring a smooth and welcoming experience for your clients. In this comprehensive guide, we'll walk you through the process of accepting or declining booking requests on the TheFlowOps Partners Dashboard, making your hosting journey as effortless as a well-designed workout.

## Step 1: Email Notifications for Booking Requests

When a fitness instructor submit their booking request on the mobile app, an email notifications will be sent to your registered email address for your review. It will look something like the following image:&#x20;

To approve or decline the booking request, you'll be led to the partners dashboard upon clicking one of the button.&#x20;

## Step 2: Login to Partners Dashboard&#x20;

Start by logging into your account on the TheFlowOps Partners Dashboard. Navigate to the "Bookings"  section to access pending requests.

## Step 3: Review Booking Request Details

In the "Bookings" section, find a list of pending booking requests. Click on a specific request to access detailed information about the potential client, the desired date and time, and any special requests or comments they've included.&#x20;

## Step 4: Evaluate or Double Check Space Availability

Before responding to a booking request, confirm that your fitness space is available for the requested date and time. Check the availability calendar on your dashboard to make informed decisions about accepting or declining requests.

## Step 5: Accepting a Booking Request

Ready to welcome a fitness enthusiast into your space? Click the "Accept" button associated with the booking request. This confirms the reservation, and the client receives an instant notification. The email notification ensures you're aware of the new booking even if you're away from the platform.&#x20;

## Step 6: Declining a Booking Request&#x20;

If you need more information from the requester in order to proceed with approving the booking request, we strongly encourage you to contact them directly to ask for more information instead of declining their booking request straight away. This is because it adds additional frictions for the customers as they need to re-submit their booking request.&#x20;

Your reason for declining a request will be sent to our internal team. It will not be visible to the person who submitted the booking requests.&#x20;

Once you approved a booking request, an email notifications will be sent out to the person who made the booking request. The email will look something like this:&#x20;

## Utilise Secure Payment Methods&#x20;

Encourage the use of secure and reputable payment methods to protect both you and your guests. Popular options such as credit cards, online payment platforms, or secure bank transfers offer a level of protection against fraud and facilitate seamless transactions. Ensure that your chosen methods align with your guests' preferences and provide a convenient booking experience.

## Set Clear Cancellations and Refund Policies

Establishing comprehensive cancellation and refund policies not only protects your interests as a host but also provides clarity for guests. Clearly communicate the terms for cancellations, refund eligibility, and any associated fees.
